Email message from the symposium organizers (9-24-03)

Dear UIST Authors and Symposium Attendees:

Attached to this email is the UIST "Preliminary Agenda.” Please review and let us know whether you have any questions or have identified any errors, typos, or omissions. In addition, please read the important information below about the Symposium.

(1) please make your hotel reservations as soon as possible if you need lodging. Some hotel information is available on the UIST Symposium website:

(2) Please register for the conference on the website if you have not already done so

(3) At 7:30 am on each morning of the Symposium, a "Berkeley Lab" bus will pick up attendees at the Hotel Durant and Double Tree Hotel and take them to the Meeting Auditorium. Those staying at the Shattuck Hotel can take the regular Berkeley Lab shuttle bus, free of charge. The shuttle stop is located one block from the hotel. The bus runs every 10 minutes during normal working hours. Further details will be emailed to you by our Conference Services Coordinator closer to the meeting date.

(4) The "Preliminary Agenda" attached to this email is still subject to change. We want to emphasize that oral papers and poster papers are considered of equal standing in this Symposium. They will be differentiated only in the Meeting Agenda, and not in Symposium Abstract Book, Proceedings CD, or post-symposium publications.

(5) In cases of multiple papers from the same group of authors, we have chosen one of the papers to be presented orally, and have placed the rest in the Poster Session. Please let us know if you want to exchange your oral paper with one of your papers in the poster session.

6) Note that, in the oral sessions, we have allowed 30 minutes for each talk, including questions and answers. We are hoping that this will allow time for some in-depth presentations and discussions.

(7) The Poster Session will be on the first day of the Symposium—Wednesday, October 22. The session will be held in an informal atmosphere with a buffet dinner. We hope that this will allow free interactions and productive discussions.

(8) The dimensions for the poster boards are 8' x 4' (about 2.4 x 1.2 m). There is a 2" border around the boards. Posters can be set up starting at 4:30 pm on the day of the Poster Session (i.e., first day of the Symposium).

General Information (10-06-03)

SHUTTLE SERVICE
Complimentary shuttle service is available to meeting participants from Doubletree, Durant and Shattuck Hotels. The buses will leave from the front of the hotel each morning.
Depart from Shattuck Hotel at 7:15 am
Depart from Durant Hotel at 7:30 am
Depart from Doubletree Hotel at 7:30 am
The buses will return to the hotels at the close of each day’s program.

REGULAR BERKELEY LAB SHUTTLE SERVICE
There is a regular “Berkeley Lab” shuttle providing service to downtown Berkeley approximately every 10 minutes from 6:20 to 5:40 P.M., and every 20 minutes from 5:50 to 6:50 P.M. The downtown stop is located on Center Street near the corner of Shattuck and Center, next to the Wells Fargo Bank. It is one block from the Shattuck Hotel. The downhill shuttle boards at the main pick-up stop by Building 65. In order to ride the regular Berkeley Bus shuttle to the UIST Conference, you will need to obtain a Bus Pass. To receive a pass you will need to fax a copy of a
valid Photo ID (such as your passport) and state your country of citizenship to 510-486-7772. Please include your return fax number. Upon receipt of this information you will be faxed a Bus Pass. If you do not obtain a Bus Pass prior to the start of the UIST Conference, the Berkeley shuttle bus driver will have to drop you at the security gate and you will be processed through security at that time. Please allow extra time, as this could take several minutes depending upon the number of individuals being processed.

MESSAGES
The phone number for the symposium registration desk is 510-486-6281.
There will be a message board in the auditorium lobby near the coffee break area.

TELEPHONES
Public telephones are located on the fourth floor of Building 50. As you exit the auditorium, turn left down the stairs and proceed straight down the hallway to the end and the last exit to your right. There is also a public phone located in the foyer of the cafeteria. Short complimentary phone calls within the US can be made at the Registration Desk.

INTERNET ACCESS
Limited internet access is available on the computers in the Library on the fourth floor of Building 50. As you exit the auditorium, turn left, walk down the stairs and proceed straight down the hallway. The Library is on your left.

RESTROOMS (TOILETS)
As you exit the auditorium, turn left and either walk down the stairs to the fourth floor or up the next set of stairs to the fifth floor of Building 50B. The women’s room is in the hallway straight ahead on the right-hand side. The men’s room is in the hallway on the right on the left-hand side.

LUNCHES
Lunches will be available in LBNL cafeteria, Building 54. (A local map will be available in the Agenda book).

POSTER SESSION
The poster session will be held Monday, October 22 from 6 pm to 8 pm, in the Cafeteria, Building 54. Posters can be set up beginning at 4:30 P.M. The session is held concurrently with Symposium Reception and Buffet Dinner. A special shuttle service to the Berkeley hotels will leave at 8 p.m. from the Cafeteria parking lot.

STAFF
Conference staff are available during the meeting to assist you. They can be found at the registration/information desk in the Building 50 auditorium lobby on Wednesday through Friday. The phone number there is (510) 486 6281.


Entrance to LBNL for the UIST Symposium (10-06-03)

Due to heightened security at Berkeley Lab (LBNL), all visitors who do not hold a current LBNL badge, must show a valid photo ID (such as your passport) and state their country of citizenship to gain access to the Lab. For symposium participants, you can get a Visitor’s Pass beforehand. To obtain a Visitor’s Pass, you need first to register for the Symposium on its website and then fax a copy of your photo ID and provide the LBNL Conference Coordinator with your citizenship. Our Fax Number is 510-486-7772. Upon receipt of this information we will e-mail or fax you a visitor’s pass.

Transportation: For those of you staying at the Durant, Shattuck or Doubletree Hotels, special shuttle buses will be provided by the Lab to transfer you to the conference site. In order to board the shuttle bus, a visitor’s pass must be shown to the driver. For those taking public transportation and then using the regular Lab shuttle buses, you will also need to obtain a visitor’s pass prior to boarding the shuttle bus. Now, if you do not have a visitor’s pass, the shuttle driver will let you board the bus but will drop you at the security gate and you will have to clear security with your photo ID at that time.

For those of you driving to the lab, we have provided a limited number of parking spaces in Lot Z below the cafeteria, five minutes’ walk from the Symposium venue. You will be stopped at the security gate and your photo ID will be checked, at which time you can ask for directions to Parking Lot Z. From there, you can ask anyone around to direct you to the Building 50 Auditorium where the Symposium will be held. Please allow extra time if you are driving as clearing security could take time. Be aware also that your automobile could be subject to search.

Please note: Regularly scheduled “Berkeley Lab” shuttle buses run every 10 minutes from the shuttle bus stop at the corner of Center and Shattuck Streets next to the Wells Fargo Bank Building. The stop is only one block from the Shattuck Hotel.


Information for UIST Presenters and Session Chairs (10-06-03)

For Oral Session Presenters:

  1. We have allowed 30 minutes for each talk, including questions and answers. We are hoping that this will allow time for some in-depth presentations and discussions.
  2. Overhead and slide projectors will be available, as will as laptop-LCD projectors. For the latter, please put your presentation on a CD, which can then be loaded on our laptop well before the time of your presentation. This will ensure that there will be no interruption in the symposium proceedings.

For Poster Session Presenters:

  1. The Poster Session will be on the first day of the Symposium—Wednesday, October 22. The session will be held in an informal atmosphere with a reception and barbecue dinner. We hope that this will facilitate interactions and productive discussions.
  2. The dimensions for the poster boards are 8’ x 4’ (about 2.4 x 1.2 m). There is a 2” border around the boards.
  3. Posters can be set up starting at 4:30 p.m. on the day of the Poster Session (i.e., first day of the Symposium). Please identify yourself to session coordinators, Dr Marcelo Lippmann or Dr. Dmitriy Silin, who will assign you a poster board number and assist you in putting up your posters.

For Session Chairs:

Your responsibilities will include:

  1. Ensuring the speakers are present and that a CD with their presentation has been provided to the audio-video person on site well before the time of the presentation.
  2. Introducing the speakers according to the agenda; no detailed bios is needed.
  3. Ensuring gently and courteously (but firmly) that the speakers keep within their time limits.
  4. Moderating questions and answers at the end of each presentation; and stimulating discussion with a first question if appropriate and needed. Please feel free to contact the Symposium Organizers if you have any questions.
